Disable the drawing canvas when inserting Auto Shapes

Go to tools
Options
On the General Tab remove the tic from
Automatically create drawing canvas when inserting Auto Shapes.

Aligning Text Vertically on a Page:

Switch to Print Layout View.
Click File on the Menu Toolbar, then click Page Setup.
Click the Layout Tab on the window that opens.
Click the Vertical Alignment list arrow.
Then pick the option you want to use.
- Top:
  - Aligns text to top margin.
- Bottom:
  - Aligns text to the bottom margin.
- Center:
  - Aligns text between the top and bottom margins.
- Justified:
  - Distributes the text to fill the page.
Then Click "OK"

Auto Correct:

To enter words that you commonly misspell click Insert on the Menu Toolbar.
Then click Auto Text, then Auto Text again.
Next click the Auto Correct Tab at the top of the window that opens.
Type in the "Replace with" space the way you normally misspell the word.
Then type in the correct spelling in the "With" space.
Click "OK".

How to disable Auto Correct/Auto Format:

It is indenting, capitalizing, putting in numbers that haven't been typed. How do I stop this?
- Disable the whole autocorrect/auto format functions.
- Go to Tools-Autocorrect, the Autoformat as you type tab.
- Remove all checks from the check boxes, or just from the top and bottom sections.

Creating an Auto Text:

First type out your text that you want to create the Auto Text for.
Example
- Name, address, city, state, zip code and phone number.
After you have it typed out, select it.
Click Insert on the Menu Toolbar.
Then click Auto Text, then Auto Text on the drop-down Menu.
A window will open, click the Auto Text Tab if it did not open to it.
Next type in the first 4 or 5 letters of the text you want to create.
Click "OK".

Adding Borders and Shading to a Word, Sentence, Paragraph or a Page:

Open the Tables and Borders Toolbar. Located under View on the Menu Toolbar.
Go to View on the Menu Toolbar, then click Toolbars and then Tables and Borders, this will open the toolbar for you.
Select the color and type of line or lines you want to use around the text.
Select the text you want to put a border around.
Then click on the drop down list and select the Outside Border (will look like a box outlined).
Then select shading if you want, will be the paint roller, click on it and select the color.
When you are finished you can close the Tables and Borders Toolbar.

Adding Bullets and Numbering to a Document:

Select the text you want to add bullets or numbers to.
Click Format on the Menu Toolbar.
Click Bullets and Numbering.
A window will open, pick the type of numbers or bullets you want to add.
Click on "OK".

Clip Art:
Clip Gallery:

You can use the Clip Gallery to preview a wide variety of pictures, photographs, sounds, and video clips that you can insert in your documents.
To insert a clip, click Insert Clip Art on the Drawing Toolbar. Create the drawing object you want by using the buttons on the Drawing Toolbar.
Select the Drawing Object you created.
On the Edit Menu, click Copy.
Click Insert Clip Art on the Drawing Toolbar.
Select the category in the Clip Gallery - or create a new category - that you want to add the Drawing Objects to.
Click Paste on the Clip Gallery Toolbar. When prompted, give the object a name.
Note
- When you insert the drawing object you added to the Clip Gallery into an application that supports the Microsoft Office Drawing Tools (for example, Microsoft Word or Microsoft Excel), it is inserted as an Office Drawing Object. When you insert it into an application that does not support the Office Drawing Tools, it is inserted as a Windows Metafile.

Adding Clip Art to you document:

Click Insert on the Menu Toolbar.
Then click Picture.
Click Clip Art.
A new widow will open.
Browse through the clip art pictures till you see the category you like, then click on the picture.
Another window will open with more pictures, click on the picture you like.
A drop-down list will appear with icon, click Insert Clip Icon.
The picture will be place on the document.
Move the picture where you want it.
After you have placed it where you want it, right click on the picture and click Format Picture.
You can pick how the text will form around the picture in this window, the side of the picture and many more things you can do with it.

Downloading Clip Art From Microsoft:

Have you downloaded a clip from the Design Gallery Live Web site, but then found you were unable to open the clip on your hard disk drive? You may have the file format set incorrectly.
- To select your file format
  - On the Design Gallery Live menu, click Options.
  - Scroll down to Specify preferred file type to download, and then select the correct file type for your version of Office.
    - For Microsoft Office XP, click MPF, for Media Package File format.
    - For all other versions of Office, click CIL, for Clip Interchange Library format.

Columns:

Display Or Hide Newsletter-Style Column Boundaries

Follow this procedure when you want to display single dotted-line boundaries around columns, page margins, and objects. These boundaries are used for layout purposes and do not print.
- Switch to Print Layout View (Click View, Print Layout View or Print Preview depending on your version of Ms Word).
- On the Tools menu, click Options, and then click the View tab.
- To display or hide boundaries, select or clear the Text boundaries check box.

Create Newsletter-Style Columns

Text in newsletter-style columns flows from one column to the next on the same page.
- Switch to Print Layout View.
- Select the text you want to format in columns:
  - An Entire Document
    - On the Edit menu, click Select All.
  - Part of the document
    - Select the text.
  - Existing Sections
    - Click in a Section (Section: A portion of a document in which you set certain page formatting options. You create a new section when you want to change such properties as line numbering, number of columns, or headers and footers.) or select multiple sections.
- On the Standard toolbar, click the Columns icon.
- Drag to select the number of columns you want.

Remove Newsletter-Style Columns

Switch to Print Layout View.
If your document is divided into Sections, click in the Section or select multiple sections you want to change.
Click the Columns icon and then drag to select a single column.

Change The Number Of Newsletter-Style Columns

Switch to Print Layout View.
Select what you want to change the number of columns for:
- An Entire Document
  - On the Edit menu, click Select All.
- Part Of The Document
  - Select the text.
- Existing Sections
  - Click in the Section or select multiple sections.
Click the Columns icon and then drag to select the number of columns you want.

Balance Newsletter-Style Column Length On A Page

In Print Layout View, click at the end of the columns you want to balance.
On the Insert menu, click Break.
Click Continuous. Microsoft Word inserts a continuous Section Break, which balances the text equally among the columns.
Tip: If you want to force a new page to start after the balanced columns, click after the continuous section break, and then insert a manual Page Break.

Add Vertical Lines Between Newsletter-Style Columns

Switch to Print Layout View.
If your document is divided into, click in the section you want to change.
On the Format menu, click Columns.
Select the Line between check

Creating a New Folder:

Click File, in the folder you want to create a new folder in.
Then click New, then Folder and it will create a new folder for you.
You will then have to give the new folder a name.
In the space for the new name you will see "New Folder", just type in the name you want the folder to have.
Note
- All of the following can be done using the Shortcut Menu. You select the text you want to copy, paste, or delete and right click for the drop-down Menu and then click on the command you want to use.

Cutting, copying, pasting text, moving and deleting text:
Cutting Text:

Select the text you want to cut and click the Cut Icon, (or you can use the Shortcut Menu) on the Standard Toolbar
- Looks like a pair of scissors.

Copying Text:

To copy text select the text you want to copy, click the Copy Icon, (or you can use the Shortcut Menu) on the Standard Toolbar.
- The icon is to the right of the Cut Icon.
Place the cursor where you want the text placed and click the Paste Icon on the Standard Toolbar.

Deleting Text:

Select the text you want to delete and click the Delete key.

Moving Text:

To move text you use cut and paste or copy and paste commands listed above.

Down loading a picture off the Internet:

Find a picture you want to download.
Right click on the picture.
Click "Save Image As".
A window will open asking where to save the picture at the top and name of the picture at the bottom of the window.
- At the top select the folder you want to save it in.
- At the bottom type in a name for the picture.
- Click "OK".

Adding a Drop Cap to the beginning of a paragraph:

Click Format on the Menu Toolbar.
Then click Drop Caps.
A window will open; pick the type of drop cap you want to use.
Go to the bottom of the window and select how many lines you want it to drop.
Select the font you want to use, also the spacing and then click OK.

E-mail :

Notes
- You can use the Send To: To include the Specified Access Datasheet, Form, Report, Module, or Data Access Page in an electronic mail message, where it can be viewed and forwarded.
- You can include objects in Microsoft Excel (*.xls), MS-DOS text (*.txt), rich-text (*.rtf), or HTML (*.html) format in messages for Microsoft Exchange, Microsoft Mail, Microsoft Windows for Workgroups mail, or another electronic mail application that USES the Microsoft Mail Applications Programming Interface (MAPI).

Opening a File, or a Picture sent to you in an E-mail :

To open a file or a picture, double click on it.
Depending on your computer it will automatically download or it will ask you.
"To open it", if you click on this, it will automatically open the file.
Save the file.
If you chose this.
- It will ask you where you want to save the file.
- A window will open up asking you where you want to save the file at the top.
- At the bottom it will ask you for a name for the file.
- Remember where you save it. That is where you will go to open it later.

If Outlook or Outlook Express is your E-mail Client:

Click File On the Menu Toolbar.
Click Send To.
Click Mail Recipient or Mail Recipient (as attachment).
Depending on which mail program your using one of two things will open.
- Your default E-mail program will open. The window you are working in will change to an E-mail program if Outlook or Outlook Express is your default E-mail program.
To:
- The recipients of the message whose names you want to put on the To line in the mail message. If you leave this argument blank, Access prompts you for the recipients' names.
  - Separate the recipients' names you specify in this argument and in the Cc and Bcc arguments with a semicolon (;) or with the list separator set on the Number tab of the Regional Settings Properties dialog box in Windows Control Panel. If the mail application can't identify the recipients' names, the message isn't sent and an error occurs.
Cc:
- The recipients of the message whose names you want to put on the Cc ("carbon copy") line in the mail message. If you leave this argument blank, the Cc line in the mail message is blank.
BCC:
- The recipients of the message whose names you want to put on the BCC ("blind carbon copy") line in the mail message. If you leave this argument blank, the BCC line in the mail message is blank.
Subject:
- The subject of the message. This text appears on the Subject line in the mail message. If you leave this argument blank, the Subject line in the mail message is blank.
Click Send a Copy.

- You can't include objects in Microsoft Active Server (*.asp) or Microsoft IIS (*.htx, *.idc) format, although these selections are displayed in the list
To:

If you leave this argument blank, no additional text is included in the mail message. If you leave the Object Type and Object Name arguments blank, you can use this argument to send a mail message without a database object.
Edit Message:
- Specifies whether the message can be edited before it is sent. If you select Yes, the electronic mail application starts automatically, and the message can be edited. If you select No, the message is sent without providing a chance to edit the message. The default is No.
Template File:
- The path and file name of a file you want to use as a template for an .html file. The template file is a file containing HTML tags.
Note
- The Send To action is available only if you have a MAPI-compliant electronic mail application installed on your computer, or if you have a VIM-compliant electronic mail application and have installed and set up Mapivi32.dll. For information on how to install and set up Microsoft Access support for VIM mail applications.

Add a Custom Address List to your Outlook Toolbar:

Notes
- If you send E-mail to the same people frequently, you can automate the process of creating and addressing the message.
- With Outlook, you can add a Custom Toolbar Button that lists the people to whom you send E-mail most often.
- Then, with one click, you can create a new message that's addressed to the person you want to send it to and, if you regularly send E-mail with the same Subject Line, such as a weekly report, you can also create a message that has the subject line filled in.
There are two parts to creating a Custom List of Recipients.
- First, create the Toolbar Button.
- Then, add the E-mail addresses and subject lines to it.

Create a Custom Toolbar Button:

Click Tools on the Menu Toolbar, click Customize, and then click the Commands Tab.
In the Categories list, click New Menu.
In the Commands List, click New Menu and drag it to the toolbar. When the pointer looks like an I-beam, release the mouse button.
On the toolbar, right-click the New Menu Button, and in the Name Box on the Shortcut Menu, type a name for the New Toolbar Button.

Add E-mail Addresses and Subject Lines:

In the Customize Dialog Box, in the Categories List, click File.
In the Commands List, click Mail Message and drag it to the Custom Menu Button that you added to the toolbar.
When you rest the pointer over the Custom Button, a gray box appears.
Drop the Mail Message Command onto the gray box.
If you are adding a subsequent command, NO gray box will appear. Drop the command onto the most recent command you added.
Note
- If you want to use a different icon, choose the command from the Commands List that has the icon you want.
Example
- If you add a Distribution List, you can use the Distribution List Command to get the Distribution List Icon.

Create Icons:

On the toolbar, right-click the Mail Message Command, and in the Name Box on the Shortcut Menu, type a name for the person, distribution list, or alias you're assigning to the command.
Then, on the Shortcut Menu, point to Assign Hyperlink, and then click Open.
Under Link to, click E-mail Address.
In the E-mail Address Box, enter the E-mail address of the person, distribution list, or alias you want to assign to the command.
If you want this automatically addressed message to also have a Standard Subject Line, such as Status Report, type it in the Subject Box.
Repeat these steps for each person, group, or standard subject line you want to add to the button.

Click on options and choose the size of the envelope.
Set Print options.
Next add in the address.
Choose either print or add to document.
- Print will print now

The Equation Editor comes with Microsoft Office but is not installed under a standard installation
Load your Microsoft Office CD and do a custom install to install the Equation Editor
Adding the Equation Editor button to the Standard Toolbar so is easily accessible
- Click Tools on the Menu toolbar
- Click Customize
- Click the Commands tab
- Select the insert category on the left side of the box
- Located the Equation Editor button
- Drag the button up to your toolbar menu and drop it where you want it

The Equation Editor Menu can be used to insert both symbols and templates for complicated mathematical expressions.

When the equation is finished click anywhere outside of the Equation Box to exit

Shortcut Keys

Tips Using The Equation Editor

ALWAYS:
- Add a full space before and after an equal sign
- Before and after a plus or minus sign
- After a limit sign or integral sign
- Before each limit on a definite integral
- Add a half space between a coefficient and a variable and before and after the arrow sign in a limit
- Line up the equal signs use the format/align option shown below
- Add text inside an Equation box by selecting Style / Text on the toolbar menu

Files:
Opening a File of unknown Format:

Click on the "Open Folder" icon
Select the file you want to open
Then select the "File of Type"
Then select "Text from any file"
Click open.

Renaming a File or Folder:

Select the folder or file, right click on it and the Shortcut Menu (drop-down list) and click Rename.
The old name is selected (high lighted), just type in the new name.

Create a Header or a Footer:

On the Menu Toolbar click View click Header and Footer.
To create a Header, enter text or graphics in the header area.
To insert click the appropriate button on the Header and Footer toolbar.
- Page numbers
- Insert Page Number. The current date
- Insert Date. The current time
- Insert Time.
Note
- Common header or footer items, such as running total page numbers (Page 1 of 10), the file name, or the author's name Insert Auto Text and then click the item you want.
To create footer, click Switch Between Header and Footer to move to the footer area. Then repeat step 2.
When you finish, click Close.
Note
- The text or graphics you enter in a header or footer is automatically left aligned. You may want to center the item instead or include multiple items (for example, a left-aligned date and a right-aligned page number).
- To center an item, press TAB; to right align an item, press TAB twice.

Create a Unique Header or Footer for the First Page:

If your document is divided into sections, click in a section or select multiple sections you want to change.
On the Menu Toolbar click View, click Header and Footer.
On the Header and Footer Toolbar click Page Setup.
Click the Layout Tab.
Select the Different First Page Check Box, then click OK.
If necessary, move to the First Page Header area or First Page Footer area.
Create the header or footer for the first page of the document or section.
- If you do not want a header or footer on the first page, leave the header and footer areas blank.
To move to the header or footer for the rest of the document or section, click Show Next on the Header and Footer Toolbar. Then create the header or footer you want.

Create a Different Header or Footer for part of a Document:

Note
- When you create a header or footer, Word automatically uses the same header or footer throughout the entire document.
- To create a different header or footer for part of a document, divide the document into sections, and then break the connection between the header or footer in the current section and the previous one.
If you haven't done so already, insert a section break where you want to start a new section that contains a different header or footer.
Click in the section for which you want to create a different header or footer.
On the Menu Toolbar click View click Header and Footer.
If necessary, move to the header or footer you want to change. On the Header and Footer Toolbar click Same as Previous.
Change the existing header or footer or create a new one for this section.
Word automatically makes the same changes to the headers or footers for all subsequent sections.
To create a different header or footer for a subsequent section, repeat steps 1 through 6.

Make a Header or Footer identical to the previous Header or Footer:

Click in the section that contains the header or footer you want to make the same as the header or footer in the previous section.
On the Menu Toolbar click View, click Header and Footer.
If necessary, move to the header or footer you want.
On the Header and Footer Toolbar click Same as Previous
Note
- When a header or footer is the same as the header or footer in the previous section, Word displays "Same as Previous" in the upper-right corner of the header or footer area.

Adjust the Horizontal Position of a Header or Footer:

On the Menu Toolbar click View, click Header and Footer.
If necessary, move to the header or footer you want to adjust.
On the Formatting Toolbar click an Alignment Button.
Notes
- Use the preset tab stops in the headers and footers to quickly center an item or align multiple items (for example, align the date on the left and page numbers on the right).
- To center an item, press TAB; to right align an item, press TAB twice.
- To extend a header or footer into the left or right margin, set a negative indent. Example
  - To position a header or footer 1 inch into the left margin, click Paragraph on the Format Menu, click the Indents and Spacing Tab, and then type -1 in the Left box under Indentation.

Adjust the Vertical position of a Header or Footer:

On the Menu Toolbar click View, click Header and Footer.
If necessary, move to the header or footer you want to adjust.
On the Header and Footer Toolbar click Page Setup.
Click the Margins Tab.
In the Header Box enter the distance you want from the top edge of the page to the top of the header.
In the Footer Box enter the distance you want from the bottom edge of the page to the bottom of the footer.

Change the distance between the Document Text and a Header or Footer:

On the Menu Toolbar click View, click Header and Footer.
If necessary, move to the header or footer you want to adjust on the Vertical Ruler, point to either the top or bottom margin boundary.
When the pointer becomes a double-headed arrow drag the top or bottom margin up or down.

Setting page numbers, solving the problems with getting them to work

The biggest problem with getting the page numbers to work the way they are suppose to is making sure you use the correct page breaks.
Most people when they do a page break they use Page Break instead of Section Break Types, Next Page.
What happens is a "Section" separates the documents into differnet sections, whereas a normal Page Break doesn't and the page numbers start at the beginning and go to the last page. When you try to change in the middle all pages change.
When you want to change the page numbers formats or start over MS Word won't allow it because you haven't set the "Section" Page Break.
When you set or use the "Section Page Break" it breaks the documents into sections and once you have sections you can change the types of page numbers, "Start" numbering again and change formats for each section.
If you use just "Page Break"s then the numbering will continue from beginning to end.
If you change the format for the page numbers on one page it will change all pages.
The page breaks affect all other functions in the Header and Footers the same why they do Page Numbers.

Language:
Changing the default language in Word:

Changing the language only works for "this document" unless you choose the "default" button when you change it.
If that's not working for you, do this:
- Go to tools
- Options
- File locations tab.
- Double-click user templates and note the location.
- Close ALL docs but not Word.
- Go to File
- Open
  - Files of type must be Templates.
- Browse to the template directory and open normal.dot
  - You CAN'T do this from explorer.
- Hit ctrl-a
- Change the language
- Save
- Close and create a new doc.

Changing the language for spell check:

Open word
Click on tools
Click on options
Click on the spelling and Grammar tab
Click on the dictionaries button and set your choices there

Lines:
Drawing and inserting lines:

Drawing toolbar

Click the Drawing Icon on the Standard Toolbar.
Click the Lines Icon next to the word Auto Shapes.
Holding the Shift key down while you draw the line. This will keep the line straight.
Place the mouse approximately where you want the line to be.
Draw the line.
Let up on the Shift key and the mouse button.
Move the mouse over the line till it turns into a four-headed arrow.
Holding the Shift key and the Alt key down move the line where you want it.

Copying Lines:

To copy a line hold down the Shift key and the CTRL key down and move the mouse where you want the copy to be.

Formatting Lines:

Move the mouse over the line till it changes into a four-headed arrow.
Right click on the line.
Click the Format Auto Shapes Icon.

Moving a Window:

To move a window place the mouse on the Title Bar, the Title Bar is the Blue Bar at the top of the window or it could be Gray depending on the Activity of the window. It is the one with the name of the window on it.
Press down the left mouse button and hold it down
Move the window where you want it.

Apply Text and Graphics Formatting Multiple Times in Word:

Select the text or graphic where you want to apply the new format.
When you're finished applying the format, click the Format Painter Button again or press ESC.
Note
- Applying text and graphics formatting multiple times does not work between programs. For example, you cannot apply formatting from Word to Power Point.

Insert a Drawing Object Multiple Times in Word:

- Have you ever wanted to insert the same drawing object several times in a row in your document, worksheet, or presentation?
- Instead of clicking the Drawing Object Button every time you want to insert the object, you can take advantage of the Drawing Object Button's "Sticky" feature.
To view the Drawing Toolbar right-click any toolbar and select Drawing.
To insert a Drawing Object several times DOUBLE-CLICK the Drawing Object Button (such as Rectangle) on the Drawing Toolbar. The button stays selected or "Sticky."
Insert your Drawing Object several times by clicking in the appropriate locations.
When you're finished inserting the objects click the Drawing Object Button again, or press ESC.
Note

You can also turn any of the Drawing Objects available from the Auto Shapes button on the Drawing toolbar into "Sticky" Drawing Object buttons.
Simply click the Auto Shapes button, point to a category (such as Flowchart), and a submenu of shapes opens up.
Drag the move handle at the top of the submenu to create a Floating toolbar.
Then double-click the Drawing Object Button (such as Flowchart: Process).
The button now stays "Sticky."

Mail Merge

Mail Merge can be used for the following:

Envelopes
Labels
Letters
Name tags
Product tags

Criteria

The three documents needed for a final Mail Merge
- Data Source that is merged into the main document
- Main Document from which the final product is created
- Merged Document that is created.

Data Source Files

This data file can be in one of many different formats.
- Word table
- Excel file
- Access database table or query
- A comma-separated file
- Tab-separated file
- Address Book
- Contacts List
- Many others
Data source files must be formatted so that the column headings are the first line or row of the file, and the first record is the second line or row of the file.

Create a Mail Merge

Click on Tools
Mail Merge
Click Create Button
Choose the type of document that you want to create.
If you are creating a letter, mailing labels or envelopes, then choose the Active Window button when you are asked what document to use.

Get Data

Then Click Get Data Button
Choose the appropriate option.
If you choose Create Data Source, a form pops up into which you can enter data. Follow the steps to produce the data file.
If you are getting your data from an existing data source file, Excel file, Tab Separated text file, you need to choose Open Data Source
Change the Files of type to the type of file in which your data resides
Locate the file, and then open it.
Next edit Main Document. The mail merge toolbar appears on the Standard toolbar.
It will appear whenever you open the main document unless you choose to turn it off.

Edit Main Document

The Insert Merge Field drop-down on the mail merge toolbar provides a list of the headings, labels, or field names in your data source file.
Place the cursor in the document where you would like the Name to appear (this is just an example, labels, envelopes) and hit Insert Merge Field and choose First Name from the drop-down. Insert a space in your main document so that there is a space between the First Name and Last Name.
Click Insert Merge Field and choose Last Name.
Press Enter now to get to the next line.
Continue until all fields are entered.
Remember to insert commas between City and State and two spaces between State and Zip Code.
Save your file. It can be saved as a document or as a template.

Merge

To merge the information, you can choose the appropriate button from the mail merge toolbar, or from the Mail Merge Helper. Choose to mail merge it to a New Document, E-mail , etc.
Save the data source file (if created in Word) and the main document.

Merge a Letter

Open letter or a blank document.
Click Tools
Click Letters and Mailings
- Mail merge wizard.
- Step 1
  - Choose Letters at the top and hit
  - Select Document at the bottom.
- Step 2
  - Click Current document at the top.
  - Select Recipients at the bottom.
- Step 3
  - Choose Use an existing list at the top.
  - Click the Browse button to get your list.
  - Click Okay
  - Select the spreadsheet, table, or query you want to get your data from.
  - Click Okay
  - The data list will open.
  - Check the records you want to use.
  - Click Next
  - Create your letter or open one you want to use.
- Step 4
  - On the task pane at right, choose More.
  - You will find the mail merge fields there.
  - Insert your merge fields (example: person's name at each location you want it to appear).
  - Click Next
- Step 5
  - You can use the left and right arrows on the task pane to see what your merged letters will look like.
  - Click Next
  - Do your merge.
  - Click Edit to edit the letters, then click All.

Make Other Languages Available

Click Start, point to Programs (or point to All Programs if you are running Microsoft Windows XP), point to Microsoft Office Tools, and then click Microsoft Office XP Language Settings.
Click the Enabled Languages tab.
In the Available Languages list, click the languages that you want to add, and then click Add.
Click OKAY
If you are currently running any Microsoft Office programs, you receive the following message:
- To use the new language settings, you must quit and restart all open Office applications.
- Shut down and restart open Office applications now?
- Click Yes to this message.
- The new language settings are enabled the next time that you start Word.

Install the Spelling and Grammar Tools

When you check spelling and grammar on a document in another language, and the tools are available in your language version of Office XP, Word automatically installs the tools. If the spelling and grammar tools for the language in which you want to check are not included in Office XP, you must obtain and install the necessary files from the Microsoft Office XP Proofing Tools.
Install the French Spelling and Grammar Tools or Spanish Spelling and Grammar Tools The following steps describe how to install the French and Spanish spelling and grammar tools that are included in the English version of Office XP.
By default, the French and Spanish proofing tools are set to the Installed on First Use installation state. The first time that you perform a spelling check in these languages, you are prompted to install the tools. Click Yes on the message, and then insert your Office XP CD into your CD-ROM drive or DVD-ROM drive when you are prompted.
Or you can install the proofing tools by using Add or Remove Programs in Control Panel. To do this, follow these steps:

- Click Start
- Click Control Panel
- Double-click Add or Remove Programs.
- Click Microsoft Office XP

Start Word.
On the Tools menu, point to Language, and then click Set Language.

Check Spelling and Grammar in Your Document

By default, Word checks spelling and grammar as you type. Wavy red underlines indicate possible spelling errors, and wavy green underlines indicate possible grammatical issues.

If Word cannot find the dictionary or other proofing tools with which to check spelling and grammar in another language, make sure that the following conditions are true:
- The spelling tools and grammar tools for that language are installed. You may need to obtain and install the tools from the Office XP Proofing Tools.

- The language is enabled for editing in the Office XP Language Settings tool.

Troubleshoot Automatic Language Detection

If Word does not correctly detect the languages in your document, follow these steps: "
- Make sure that the language is enabled for editing in the Office XP Language Settings tool."
- Type at least one sentence that contains five or more words in the language. The accuracy of detection increases with the amount of text that you type
Word evaluates text sentence by sentence to determine its language. The text may contain a mixture of languages, or the language Word detects may only be subtly different from another language. In this situation, Word may not be able to identify the correct language, especially if there are only a few words in the sentence.
If a word has a wavy red underline because it is in a different language, apply the correct language. Right-click the word, point to Language, and then click the language that you want. Manually apply the language format. To do this, point to Language on the Tools menu, and then click Set Language Under Mark selected text as, click the language format that you want to apply.
Or change the dictionary to the appropriate language. To do this, press the F7 key , and then click the dictionary that you want to use in the Dictionary language list in the Spelling and Grammar dialog box

Move Text and Graphics with the "Spike":

Select an item you want to move, and then press CTRL+F3.
Repeat this step until all the items are on the "Spike".
Click a place in the current document, or in a new document, where you want to paste the items.
Do one of the following:
- If you want to paste the items once and empty the Spike press CTRL+SHIFT+F3.
- If you want to paste the items multiple times, type Spike, and then press F3.

Inserting Page Breaks:

To insert a Manual Page Break.
Place the cursor before the text or after the text where you want the page break to be.
Click Insert on the Menu Toolbar.
Click Break.
Then make selection of the break you want by putting a dot before the option.
- Set a Pagination Option. The following are Pagination Options (Keep lines together, Keep with next, or Page break before) control where automatic page breaks occur.
- Inserted a Section Break (The Next Page, Even Page, or Odd Page) section break automatically breaks the page.

Inserting Page Numbers:

Click Insert then click on Page Numbers.
A window will open.
Check how you want the page numbers entered on the page.

Passwords:
Lost password for a document

How do I do a password recovery on MS Word? I forgot the password I used to lock the .doc file.
If you protected the document via Tools-Protect...
Or you can open another document, hit Insert-File and choose your protected document. It'll come into the new doc with no protection on it.

OR
Change the document extension to .txt
Open the file and then re-save it as a doc and the password should be gone. This does not work all the time.

Pictures:
Copying an Image or Picture from the Web:

After you find a picture or image you want to download, right click on the image and then click "Save image as".
A window will open asking where you want to download the image to.
Direct it to the folder you want to save it in.
Remember where you saved the image or you won't be able to find it again also save the picture in the format you want to save it as in this window.
- I created a folder called "Pictures" in My Documents for this purpose.

Inserting Pictures from Saved Files:

Pictures are inserted by clicking Insert on the Menu Toolbar then click Pictures.
Another menu will open and then you click on From File.
When you click on From File a window will open asking you where the file is located. Then you will direct it to the file location.
Choose the file (picture file) you wish to insert and then click Insert.

Only frame of picture shows when picture is inserted in word:

Go to tools
Click on options
Click on view tab
Take the tick out of picture placeholders

Keeping the File Size Small when inserting pictures:

Insert the picture.
Cut the picture.
Under Edit, click Paste Special.
Remove the check from the box in properties to preview the picture.

Printing:
Printing a Document:

Two ways to print a document.
- Using the icon on the Standard Toolbar.
- Using File, Print Menu on the Menu Toolbar.
Printing using the icon on the Standard Toolbar will print the document the way it is, you CAN'T change page margins or set printing options.
Print using the File, Print command gives you the options to set your print setup.

Printing Certain Pages of a Document:

To print certain pages you have to use the File, Print Menu on the Menu Toolbar.
Go to, for instance, page 39. Look at the bottom-left of the application window. You'll see something like.
- Page 39 Sec 3 41/60
Now, go to page 41 and look down there. You'll see something like.
- Page 41. Sec 3. 43/60
To print these pages and the ones in between, you hit File-Print and, do not type 39-41, type this instead.
- s3p39-s3p41
Let's suppose you wanted pages 39 through 41 and page 44.
- Type s3p39-s3p41,s3p44
The S stands for Section
The P stands for Page
The dash (hyphen) means "to"
The comma means "and"

Reducing the size of a document:

If it has graphics, do this:
- Open the file
- Click File
- Click Properties
- Click on the general tab and check its size.
- Save the file to a new name.
  - For each picture:
    - Cut it.
    - Hit Edit
    - Paste special
    - As a picture.
    - Do that to a few of them, save the file and check its size.
    - If it is smaller, do that to the rest of them.
- Make sure you're not saving the file to a lesser version (if you don't need to).
- Make sure that when you go to File-Properties-Summary tab, that it doesn't say "Save Preview Picture".

If you're using lots of different font formatting, make sure you're using styles.
- Think about this:
  - If I format a heading to be bold and italic, it stores that format.
  - If I do this 50 times in a large file, it is saving each of them.
  - If you use styles, you create a style that looks like you want the 50 items to look, so now you apply that style 50 times, but the formatting is referenced instead of used.
  - The format is saved once, not 50 times.

Re-sizing a Window:

Move your mouse to the center of the window at either the side or bottom depending on which way you want to raises it.
The mouse will turn into a double-headed pointer. Press down the left mouse button and hold it down and drag the side or bottom to the size you want the window to be.
If you want to move the sides and bottom at the same time move the mouse to one of the corners until it turns into a double-headed pointer, press down the left mouse and drag the corner in the direction you want to take it.

Re-sizing a Picture:

You raises a picture or anything else in Word the same way you do a window.

Saving:
Saving a Document:

Save, is the first way you can save a document. You generally use "Save" after a document has been saved the first time and has been saved in the folder where you want to save it, and with the document name you want it to have.
- To use "Save", you can click on the icon on the Formatting Toolbar that looks like a TV screen, it will be the third icon in from the left under the word Edit.
- You can also click File on the Menu Toolbar and click "Save" on the drop-down list.
Save As is the way you save a document for the first time. If you want to rename it, use it over again or make changes to it but want to keep the original intact you use Save As.
You also use this to save the first time so you can name the document and save it where you want.
Using Save As you can also change the format of the document; for example, to save it as a template. Web Page, or other word formats (word 4, word 5, rich text, or Word Perfect).
- To use "Save As", you can click "F12" or click File and then click "Save As" on the drop-down list.

Save all your Documents at once:

Hold down SHIFT and click the File Menu. When you hold down SHIFT, two new options appear on the File Menu: Close All and Save All.
To save all your open documents at once, click Save All. Or, to close all your open documents, click Close All; Word will prompt you to save your changes before closing any documents.
The Close All command also works in Excel.

Select Word, Paragraph, or Whole Document Word uses the word "select" instead of "Highlight":

To select a word, place the cursor before the letter and click the left mouse button twice.
To select a paragraph, place the cursor anywhere in the paragraph and click the left mouse button 3 times.
To select the whole document hold the CTRL button down and hit the letter "a".

Scan an image:

Scanned an image into word also scan an image and having a full page and not a smaller image

Open Word, click on new document.
Next go to Insert
Picture
Choose scanner
Scan the document
Depending on the scanner it will place it in the document and at the same time keep the file size small.
If you want to fax the document and have the image full size follow the following instructions.
Click on File
Page setup
Change all the margins to 0.
This will allow an image when it is inserted to be 100% of the original.
Once it is in the document click in the middle of the page.
Once you see the image outline enlarge it to the full size of the page
You will have a perfect image, color and all
When you go to print you will get an error message that it is outside of the printing area, don't worry about that for that is the white space or margin in the scanned area and white does not print.

Scrap Files:

Scraps are really a feature of the Windows operating system, rather than Word. I thought I'd discuss them briefly nevertheless, as they can be very useful for copying information from one Word document to another (and not many people seem to know about them).
What's a scrap? Select part of a document open in Word 7 or Word 97, then grab the selection with the mouse and drag it to the Windows desktop. When you release the mouse, a scrap icon like the one shown here appears.
The scrap file you've just created contains a copy of the text that was selected in Word. Drag the scrap icon back into the Word window and a copy of the text is inserted into the active document.
The scrap itself remains intact (even if you quit Windows), so you can paste its contents into as many documents as you wish. You can also paste scraps into the documents of other Office applications, and any other application that supports OLE drag-and-drop. You cannot, however, open them as stand-alone files; if you forget what a scrap contains, drag it into a blank Word document to see its contents.
Scraps are initially given names that incorporate the first part of the copied text, but you can rename them just like any other desktop item.
You can have as many scraps on the desktop at one time as you wish. When things start to look untidy, just drag the scraps you're no longer using to the Recycle Bin.

Inserting a Table:

There are a number of ways to insert a table.
- Using Table on the Menu Toolbar.
  - Using Draw Table
  - Using Insert Table
- Using the Draw Table Icon on the Standard Toolbar.

Inserting a Table using Draw Table on the Menu Toolbar:

Click Table on the Standard Toolbar.
Click Draw Table.
A toolbar will open up.
Choose the formatting you want to use for your table.
Draw the table; it will only draw one cell at a time.
If you want multiple cells it is best to use the Insert Table command.

Inserting a Table using Insert on the Menu Toolbar:

Click Table on the Menu Toolbar.
Click Insert.
Click Table.
Choose the formatting for the table and number of rows and columns you want.
Click in the document where you want to place the table.

Inserting a Table using the Draw Table Icon on the Standard Toolbar:

Click the Draw Table icon on the Standard Toolbar and use the same instructions as Drawing a Table using the Menu Toolbar.

Inserting a Table using the Insert Table Icon on the Standard Toolbar:

Click the Insert Table Icon on the Standard Toolbar and follow the directions for Inserting a Table.

Formatting a Table:

To Format a Table, move the mouse to the left of the row or to the top of a column.
The pointer will turn solid black.
Right click the mouse.
Click Table Properties.
Set your formats in the window that open.
After your formats are set click "OKAY".

Move around in a Table:

Press the TAB key anywhere in a table except at the end of the last row
- Move to the next cell
Press the TAB key at the end of the last row
- Add a new row at the bottom of the table
SHIFT+TAB
- Move to the preceding cell
CTRL+TAB
- Moving Tab in a cell
UP ARROW or DOWN ARROW
- Move to the preceding or next row
ALT+HOME, or ALT+7 on the numeric keypad (NUM LOCK must be off)
- Move to the first cell in the row
ALT+END, or ALT+1 on the numeric keypad (NUM LOCK must be off)
- Move to the last cell in the row
ALT+PAGE UP, or ALT+9 on the numeric keypad (NUM LOCK must be off)
- Move to the first cell in the column
ALT+PAGE DOWN, or ALT+3 on the numeric keypad (NUM LOCK must be off)
- Move to the last cell in the column
ENTER
- Start a new paragraph
ENTER at the beginning of the first cell
- Add text before a table at the beginning of a document

Re-sizing a Table:

Rest the pointer on the table until the table raises handle appears on the lower-right corner of the table.
Rest the pointer on the table raises handle until a double-headed arrow appears.
Drag the table boundary until the table is the size you want.
Note
- If you are working on a Web page or in Web layout view, you can set the table to automatically raises to fit in a window when you change the window size. Click in the table. On the Table Menu, point to Auto Fit, and then click Auto Fit to Window.

Changing the Column Width:

Put the pointer on the column boundary you want to move until it becomes a double line with solid black arrows pointed in two directions, and then drag the boundary until the column is the width you want.
Notes:
- To change a column width to a specific measurement, click a cell in the column.
- On the Table Menu, click Table Properties.
- Then click the Column tab.
- Choose the options you want.
- To make the columns in a table automatically fit the contents, click a table, point to Auto Fit on the Table Menu, and then click Auto Fit to Contents.
- To display column width measurements, click a cell and then hold down ALT as you drag the markers on the ruler.

Change the Column Width in a Table:

Then drag the boundary until the column is the width you want.

Make Multiple Rows or Columns the Same Size:

Select the columns or rows you want to make the same size.
On the Tables and Borders Toolbar, click Distribute Columns Evenly or Distribute Rows Evenly.

Change the Space Between Cells in a Table:

Click the table.
On the Table Menu, click Table Properties, and then click the Table Tab.
Click Options.
Under Default cell spacing, select the Allow spacing between cells check box and enter the measurement you want.

Align a Table on a Page:

Click the table.
On the Table Menu, click Table Properties, and then click the Table Tab.
Under Alignment, select the option you want.
To indent the table if you aligned it left, enter a number in the Indent from left box.

- To quickly align a table on a page, select the table, and then use the Alignment Buttons on the Formatting Toolbar.

Clicking on the Ruler at the top Sets Tabs:

First select which type of tab you want to use.
To choose the type of tab you want to use, at the left side of the ruler is the tab icon.
By clicking on it, it will change to the different types of tabs.
After you choose the type you want to use just click on the ruler where you want to set the tab.
To set the tab in between the ruler markers on the ruler, hold the ALT key down and click on the ruler.
Clicking and holding the left button on the mouse down and dragging the tab down will remove tabs.

Tabs:

Left tab:
- Text will be aligned with the first letter of the sentence.
Center tab:
- Using this type of tab will center text under the tab marker.
Right align:
- Using a right align tab will align text by the last character of text.
Decimal tab:
- Using this tab will center a decimal point

Text Alignment Icons:

Left Alignment Icon:
- On the Formatting Toolbar to the right of the "B" "I" "U" icons, aligns text on the page to the left margin.
Center Alignment Icon:
- On the Formatting Toolbar to the right of the Left Alignment icon. Centers the text between the margins.
Right Alignment Icon:
- On the Formatting Toolbar to the right of the Center Align icon. Aligns text to the right margin.
Right Alignment Icon:
- On the Formatting Toolbar to the right of the Center Alignment icon. Spreads text of full lines to go from the left margin to the right margin.

Toolbars:

The Formatting Toolbar and the Standard Toolbar are the 2 toolbars at the top of screen starting with File, Edit, View and so on.
- The Menu Toolbar is the Toolbar that list File, Edit, View
- The Standard Toolbar is the Toolbar below the Menu Toolbar.
- The Formatting Toolbar is the Toolbar below the Standard Toolbar.
To find certain "other" Toolbars, click View, Toolbars and then click on the toolbar you are looking for.
Shortcut menu is a quick way to find ways to format or correct sentences or spelling. To use a shortcut menu, right click on the section or word you want to change. After you right click, you then click on the menu or selection you want to use.

Viewing a Document:

A document can be viewed in four different views:
- Normal view:
  - To view in Normal view, click View on the Menu Toolbar, then click Normal on the drop-down list.
- Print layout view:
  - To view in Print Layout View, Click on View on the Menu Toolbar and then click on Print Layout View on the drop-down list. (The way it will look if you print it)
- Web layout view:
  - To view in Web Layout View, (the way it will look if you post it on the Internet), click View on the Menu Toolbar and then click Web Layout on the drop-down list.
- Print preview:
  - To use Print Preview, click on the icon between the printer icon and spell check icon. (The view that you use if you want to see what it will look like printed out)
