Why is there money to help big corporations, killing people, but when it comes to Social Security, the money is running out? Why don't they bail out Social Security? My measly $300 rebate has already gone to Big Oil. Yours most likely will end up in some big corporation's pockets too and our children will have to pick up the tab.

If you are planning on upgrading to Vista, there are hardly any drivers available. They are not the same as XP and most likely you will not be able to find drivers for your hardware at this time. Check with your manufacture for Vista drivers before you upgrade or you may be out of luck for a while until someone comes up with drivers. This is another repeat of XP SP 2.

Basically MS Word 97, 2000, XP, 03 and 07 are the same. Where they differ most is in the menus and the newer versions have more features. The basic operations of all are almost the same. The instructions listed on these pages are just basic instructions. The toolbars differ a little but the functions most people use daily are the same.

Office 2007 Fromat not compatiable with earliers versions.
When a file is created in MS Office 07 and saved in 07 format the earlier version cannot open, edit and save the formatting. 07 has features and formatting that the earlier versions do not recognize. Microsoft has a conversion tool out you can download to make 07 fromat work with the earlier versions of MS Word so they can open, edit and save in the 07 format.

Add:
Add the Current Date and Time to a Form or Report:
• Open the form in Design View or the report in Design View.
• Click Date And Time on the Insert Menu.
• To include a date, select the Include Date Check Box, and then click a Date Format.
• To include the time, select the Include Time Check Box, and then click a Time Format.
• Access adds a Text Box to the form or report and sets its Control Source Property to an Expression. If there is a form or report header, Access adds the Text Box to that section. Otherwise, it adds the Text Box to the Detail Section.

Add the Database Name to a Report:
• Note
  • You might find it useful to display the name of the database on the report so you can better track the source of the report and its data.
• In the Database Window, right-click the report, and then click Design View.
• Click the Text Box Tool in the toolbox, and then click to the left of the Date Field in the report header.
• In the label for the Unbound Text Box you just added, type database.
• Right-click the text box, and then click Properties.
• Click the Data Tab, and then type the following text in the Control Source Property Box.
  • =Left(CurrentProject.Name,Len(CurrentProject.Name)-4)
  • On the View menu, click Print Preview to see the results.

Add Page Numbers to a Form or Report:
• Open the form in Design View or the report in Design View.
• Click Page Numbers on the Insert Menu.
• In the Page Numbers Dialog Box, select the Format, Position, and Alignment for the Page Number.
• For Alignment, the following options are available.
  • Left:
    • Adds a text box at the left margin.
  • Center:
    • Adds a text box centered between the left and right margins.
  • Right:
    • Adds a text box at the right margin.
  • Inside:
    • Adds text boxes at the left and right margins. Odd page numbers print on the left, and even page numbers print on the right.
  • Outside:
    • Adds text boxes at the left and right margins. Even page numbers print on the left and odd page numbers print on the right.
• To show a number on the first page, select the Show Number On First Page Check Box.
• Access uses an expression to create the page numbers.
  

Automatic Sizing:
Turn on or off Automatic Sizing for a Spreadsheet:
• Note
  • When you turn Automatic Sizing on, the spreadsheet expands and shrinks on the Web Page as necessary when you insert and delete rows and columns or when you change row heights or column widths.
• In the Design Window, make sure the spreadsheet is activated. For instructions, see Help for your design program.
• On the toolbar in the spreadsheet, click Property Toolbox.
• If the Advanced Section is not expanded, click the Advanced Bar.
• In the Auto Fit Spreadsheet List, do one of the following.
  • To allow the spreadsheet to expand and shrink as needed, click True.
  • If you want to prevent the spreadsheet from expanding beyond a specified size, type a value either in pixels or as a percentage of the entire Web Page in the Maximum Height Box or the Maximum Width Box, or in both boxes.
  • Example
    • To allow the spreadsheet to expand up to half the width of the Web Page, type 50% in the Maximum Width Box. To limit the width of the spreadsheet to 300 pixels, type 300 in the Maximum Width Box.
  • To display the spreadsheet within the fixed space you allocated in the Design Program, click False.
  • Notes
    • If you set Auto Fit Spreadsheet to False and also hide the scroll bars, inserting rows or columns in the browser might make existing rows or columns disappear off the edges of the spreadsheet.
Create:
Auto Report Wizard:
• Auto Report creates a report that displays all fields and records in the underlying table or query.
• In the Database Window, click Reports under Objects.
• Click the New Button on the Database Window Toolbar.
• In the New Report Dialog Box, click one of the following Wizards:
  • Auto Report: Columnar.
    • Each Field appears on a separate line with a label to its left.
  • Auto Report: Tabular.
    • The Fields in each record appear on one line, and the labels print once at the top of each page.
• Click the table or query that contains the data you want to base your report on.
• Click OK.
• Notes
  • Access applies the last Auto Format you used to the report. If you haven't created a report with a wizard before or haven't used the Auto Format Command on the Format Menu, it uses the Standard Auto Format.
  • You can also create a Single-column Report based on the open table or query or on the table or query selected in the Database Window. Click Auto Report on the Insert Menu, or click the arrow next to the New Object Button on the toolbar, and then click Auto Report.
  • Reports created with this method DO NOT have a report header and footer or a page header and footer.

Using the Report Wizard:
• In the Database Window, click reports under Objects.
• Click the New Button on the Database Window Toolbar.
• In the New Report Dialog Box, click the wizard that you want to use.
  • A description of the wizard appears in the left side of the Dialog Box.
• Click the table or query that contains the data you want to base your report on.
• Notes
  • Access uses this table or query as the Default Record Source for the report.
  • However, you can change the Record Source in the wizard and select fields from other tables and queries.
• Click "OK".
• Notes
  • If you clicked Report Wizard, Chart Wizard, or Label Wizard in step 3, follow the directions in the Wizard Dialog Boxes.
  • If you
  click Auto Report: Tabular or Auto Report: Columnar, Access automatically creates your report.
• If the resulting report doesn't look the way you want, you can change it in Design View.

Create a Report on your own:
• You can use the steps in this topic to guide you through creating a report from start to finish. You'll use many of the steps to create every report. The others you'll use when you create a particular kind of report.
• Example
  • One that requires grouping records by categories or calculating totals. You need to use only the steps that are relevant to the type of report that you're creating.

Create a Blank Report and select a Record Source:
• In the Database Window, click Reports under Objects.
• Click the New Button on the Database Window Toolbar.
• In the New Report Dialog Box, click Design View.
• Click the name of the table or query that contains the data you want to base your report on. (If you want an Unbound Report, don't select anything from this list.)
• Note
  • If you want to create a report that uses data from more than one table, Base your report on a query.
• Click OK.
• Access displays the report in Design View.
  

Create a Bound Text Box:
• Open a form in Design View, a report in Design View, or a Data Access Page in Design View.
• Click Field List on the toolbar. The Field List appears. In a form or report, if the Field List Button or Command isn't available, you need to "bind" the form or report to a Record Source. If the Field List is empty in a Data Access Page, you MUST connect the page to a database.
• Do one of the following:
• Select one or more fields in the field list on a form or report.
  • To select do this:
  • One field
    • Click the field.
  • A block of fields
    • Click the first field in the block, hold down the SHIFT key and click the last field in the block.
  • Nonadjacent fields
    • Hold down the CTRL key and click the name of each field that you want to include.
  • All fields
    • Double-click the field list title bar.
• Select a field, table, or query in the field list on a Data Access Page.
  • To select do this:
  • One field
    • Click the field.
  • A table or query
    • Click the Wizard tool in the toolbox if it's not already pressed in, and then click the table or query.
• Do one of the following:
  • Drag the field or fields from the Field List and position them on the form or report.
    
  • Drag the field, table, or query from the Field List and position it on the Data Access Page.
• In the Layout Wizard Dialog Box, click Individual Controls.
• Notes
  • You MUST drag the field or fields from the Field List. If you click the field or fields in the Field List and then click the form, report, or Data Access Page, Access won't create the control. Access places one Text Box on the form, report, or Data Access Page for each field that you select in the Field List. Each Text Box is bound to one field in the underlying Data Source. Each Text Box also has an Attached Label by default.
  • Size the Text Box so that it's the appropriate size for the data you want to show.
  • Change the Label Text if necessary.
  • Switch to Form View, Datasheet View, Page View, or Print Preview to test the control.
  • For Text Boxes on forms that have many lines of text, you may want to add a vertical scroll bar.

Create a Label:
• Open a form in Design View, a report in Design View, or a Data Access Page in Design View.
• Click the Label Tool in the toolbox.
• On the form, report, or Data Access Page, click where you want to place the label, and then type the text for the label.
• Notes
  • If you want to display the text in a label on more than one line on a form or report, you can re-size the label after you enter all the text, or you can press CTRL+ENTER at the end of the first line of text to enter a carriage return.
  • If you insert a carriage return, Access automatically wraps subsequent lines as you type.
  • To manually insert a line break on a subsequent line, press CTRL+ENTER again. The length of the first line of text determines the Maximum Width of the Label.
  • If you want to use an ampersand (*) in a label on a form or report, you MUST type two ampersands. This is because Access uses the ampersand in a label or button to define an Access Key.
    

Calculate:
Calculate a Total for one Record in a Report:
• Open the report in Design View.
• Add a Calculated Text Box to the Detail Section.
• To display the Property Sheet, make sure the Text Box is selected, and then click Properties on the toolbar.
• In the Control Source Property Box, type an appropriate expression.
• Notes
  • In an Access database (.mob), you can click the Build Button to use the Expression Builder to create the expression.
  • If a report is based on a query, you can put the expression in the report's underlying query. It may improve the report's performance, and if you are going to calculate totals for groups of records, it's easier to use the name of a Calculated Field in an Aggregate Function.

Calculate a Total or Average for a Group of or All Records in a Report:
• Open the Report in Design View.
• Add a Calculated Text Box to one or more of the following sections:
• To calculate a total or average for a group of Records, add a Text Box to the group header or footer.
• To calculate a grand total or average for all records in the report, add a Text Box to the report header or footer.
• To display the Property Sheet, make sure the Text Box is selected, and then click Properties on the toolbar.
• In the Control Source Property Box, type an expression that uses the Sum Function to calculate a total or the Avg Function to calculate an average.
• Note
  • In an Access database (.mdb), you can click the Build Button to use the Expression Builder to create the expression.

Controls and alignment:
Align Text Boxes or other controls to each other in a Form or Report:
• Open a form in Design View or a report in Design View.
• Select the controls that you want to align. Select ONLY controls that are in the same row or in the same column.
• On the Format Menu, point to Align, and then click one of the following commands:
  • Left.
    • Aligns the left edges of the controls with the left edge of the leftmost control.
    Right.
    • Aligns the right edges of the controls with the right edge of the rightmost control.
    Top.
    • Aligns the top edges of the controls with the top edge of the highest control.
    Bottom.
    • Aligns the bottom edges of the controls with the bottom edge of the lowest control.
• Note
  • If any of the selected controls would overlap after being aligned, Access places them with their edges next to each other instead.
    

Make Text in a Text Box or Other Control, Bold, Italic, or Underlined:
• Open a form in Design View, a report in Design View, or a Data Access Page in Design View.
• Click the control that contains the text you want to change.
• On the Form/Report Formatting Toolbar or the Data Access Page Formatting Toolbar, click Bold to make the Text Bold, Italic to make the Text Italic, or Underline to make the Text Underlined.
• On Data Access Page Scrolling Text Controls, you can select Text and apply Bold, Italic, and Underlined Formatting to individual characters within the control. In all other controls in forms, reports, and Data Access Pages, when you apply Bold, Italic, or Underlined formatting, the change applies to the entire contents of the control. You CAN'T change individual characters in a control.
• Note
  • In forms and reports, if you want to re-size the control to fit the text, point to Size on the Format Menu, and then click To Fit.

Format a form, report, or control by using Predefined Formats:
• Open a form in Design View or a report in Design View.
• Do one of the following:
• If you want to format the entire form or report.
  • Click the Form Selector or the Report Selector.
• If you want to format an individual section.
  • Click the Section Selector.
• If you want to format one or more controls, select the controls.
• Click Auto Format on the toolbar.
• Click one of the formats in the list.
• If you want to specify which Attributes to apply (font, color, or border), click Options.
• Note
  • You MUST select the entire form or report to apply a background picture.

Move a Text Box or Other Control and its Label:
• Open a form in Design View, a report in Design view, or a Data Access Page in Design View.
• Click the control or its label.
  • When you click either part of a Compound Control in forms and reports, Access displays the Move Handles for both controls, as well as the Sizing Handles for the control that you clicked.
  • On Data Access Pages, when the control is selected, the label is not automatically selected. If you move the control, the label goes with it. But if you move the label, the control does not move.
• Move the pointer over the border (not the move handle) of either the control or its label. In forms and reports, the pointer turns into an Open Hand. In Data Access Pages, the pointer changes to a Four-headed Arrow. After the pointer changes, drag the controls to a new position.
• Notes
  • When you move a control in a form or report, you can maintain its horizontal or vertical alignment with other controls by holding down the SHIFT Key while selecting and moving the control. You can move the control horizontally or vertically ONLY, depending on which direction you move it first.
  • If you need to make small adjustments to the placement of a control, you might find it easier to press CTRL plus the appropriate Arrow Keys. When you move a control this way in forms, reports, and Data Access Pages, Access DOES NOT align the control with the grid, even if Snap To Grid is on.

Size a Text Box or Other Control:
• Open a form in Design View, a report in Design View, or a Data Access Page in Design View.
• Click the control or controls that you want to re-size
• Drag the Sizing Handles until the control is the size you want.
• Notes
  • In a form or report, if you select more than one control, all the controls change size as you crag the Sizing Handle of one control.
  • In Data Access Pages, you can't size a List Box or Drop-down List Box vertically. The vertical size of the List Box and Drop-down List Box is based on the font setting of the data in the control.
  • If you want to make small adjustments to the size of a control in a form or report, you may find it easier to press SHIFT plus the appropriate Arrow Keys.

Discard Report Design:
Discard Report Design Changes made during this session:
• Notes
  • If you open a saved form or report in Microsoft Access 2000, make some design changes, and then decide that you don't want to keep those changes, you can revert to the last saved version of the form or report without closing it.
  • In previous versions of Access, you had to close the form or report without saving changes and then reopen it in order to discard design changes.
• To revert to the last saved version, click Revert on the File menu. The Revert Command is not available unless you have opened a form or report in Design View and have made changes to it.
• CAUTION
  • Once you have reverted to the last saved version of the form or report, you cannot recover the changes that you have made to the form or report since you last opened it. If you are not sure whether you want to discard your changes, save the form or report with a different name instead of using the Revert Command.
    

Headers and Footers:
Add or remove a Report Header and Footer or a Page Header and Footer:
• Open the report in Design View.
• Click Report Header/Footer or Page Header/Footer on the View Menu.
• You can add a header and footer ONLY as a pair. If you don't want both a header and a footer.
  • Set the Visible Property to No for the section you don't want.
  • Remove all controls from the section, and then size the section to Zero Height or set its Height Property to 0.
• If you remove a header and footer, Access also removes the controls in the header and footer.

Change the size of a Header, Footer, or Other Section on a Form or Report:
• You can increase or decrease the height of form and report sections individually.
  • However, a form or report has only one width. When you change the width of one section, you change the width of the entire form or report.

Change either Height or Width of a Form or Report:
• Open the form in Design View or the report in Design View.
• Change either the height or width by placing the pointer on the bottom edge or right edge of the section.
  • Drag the pointer up or down to change the height of the section.
  • Drag the pointer left or right to change the width of the section.

Change both height and width on a form or report:


• Place the pointer in the lower-right corner of the section and drag it diagonally in any direction.

Move a Form or Report Control to another Section:
• Note
  • In an Access form or report, you can move an existing control to another section by dragging it.
• Open the report in Design view.
• Click the control.
• Place the pointer over the control until it changes to an open hand.
• You CAN'T drag the control to another section while the pointer is an upward-pointing hand.
• Drag the control to the other section.
  • If there is a label attached to the control, that label moves with the control to the other section.
• Note
  • When the mouse pointer is an upward-pointing hand, you can move a control and its label separately, but only within the current section of the form or report.
    

Lines:
Add Vertical lines to a Report:
• Note
  • In Access, you can add lines between rows or columns on a report by using the Line Control. The following illustration shows a report that displays vertical lines between the columns in the detail section. It also displays a horizontal line between the header and detail sections.
• Add a vertical line between columns in a detail section.
• Open the report in Design view.
• Click the Line Tool in the toolbox.
• Draw a line between the first and second controls in the detail section. The height of the line must be the same as the height of the detail section.
• Repeat steps 2 and 3 for each pair of controls in the detail section.
• On the View Menu, click Print Preview.
• Note
  • If you see discontinued lines when you preview your report, increase the length of each vertical line in Design View until you see a single line.

Add a Horizontal line to a Report:
• Open the report in Design view.
• Click the Line Tool in the toolbox.
• Draw a horizontal line from left to right in the section in which you want display a line.
• Note
  • If you add a line at the top or bottom of the detail section, you will see a line either before or after every detail record.

Multiple Objects:
Apply Text and Graphics Formatting Multiple Times:
• Select the item whose format you would like to copy.
• To copy the selected format to several items, DOUBLE-CLICK the Format Painter Button. The button stays selected, or "Sticky."
• Select the text or graphic where you want to apply the new format.
• When you're finished applying the format, click the Format Painter Button again or press ESC.
• Note
  • Applying text and graphics formatting multiple times does not work between programs.
  • Example
    • You cannot apply formatting from Word to Power Point.

Insert a Drawing Object Multiple Times:
• To view the Drawing Toolbar, right-click any toolbar and select Drawing.
• To insert a drawing object several times, DOUBLE-CLICK the Drawing Object Button (such as Rectangle) on the Drawing toolbar. The button stays selected or "Sticky."
• Insert your drawing object several times by clicking in the appropriate locations.
• When you're finished inserting the objects, click the Drawing Object Button again, or press ESC.
• Note
  • You can also turn any of the drawing objects available from the Auto Shapes Button on the Drawing Toolbar into "Sticky" Drawing Object Buttons.
  • Simply click the Auto Shapes Button, point to a category (such as Flowchart), and a submenu of shapes opens up.
  • Drag the move handle at the top of the submenu to create a Floating Toolbar.
  • Then double-click the Drawing Object Button (such as Flowchart: Process).
  • The button now stays "Sticky."

Moving Text and Graphics and Formatting Multiple Times:
• Select the item whose format you would like to copy.
• To copy the selected format to several items, DOUBLE-CLICK the Format Painter Button. The button stays selected, or "Sticky."
• Select the text or graphic where you want to apply the new format.
• When you're finished applying the Format, click the Format Painter Button again or press ESC.
• Note
  • Applying text and graphics formatting multiple times does not work between programs.
  • Example
    • You cannot apply formatting from Word to Power Point.

Move Text and Graphics with the "Spike":
• Select an Item you want to move, and then press CTRL+F3.
• Repeat this step until all the items are on the Spike.
• Click a place in the current document, or in a new document, where you want to paste the items.
• Do one of the following:
  • If you want to paste the items once and empty the Spike, press CTRL+SHIFT+F3.
  • If you want to paste the items multiple times, type Spike, and then press F3.
    

Print:
Set Page Setup Options for a table, query, form, or report:
• Open the Database Object in one of the following views.
  • Open a table or query in Datasheet View or Print Preview.
  • Open a form or report in any view (or from the Database Window).
  • Note
    • Page Setup Options aren't available for macros or modules.
• On the File Menu, click Page Setup.
• Click the following tabs for the options you want to set.
  • Margins.
    • To set margins and whether to print data only (for forms and reports) or to Print Headings (for tables or queries).
  • Page.
    • To set Orientation, Paper Size, and Printer.
  • Columns.
    • To set Number, Size, and Layout of Columns (for forms and reports).
• Click OK.
• Note
  • Access stores the settings for page setup options with a form or report, so you set these options only once for each form or report. For tables, queries, and modules, you MUST set Page Setup Options EVERY time you print.

Preview the Data in a Report:
• To Preview a report from Design View.
• In Design View, click Print Preview on the toolbar.
• To Preview a report from the Database Window.
• In the Database Window, click Reports under Objects.
• Select the report you want to preview.
• On the Database Window Toolbar, click the Preview Button.
• Note
  • You can use the Navigation Buttons at the bottom of the Print Preview Window to move between pages. You can move around the current page using the scroll bars.

Preview the Layout of a Report:
• Layout Preview is a fast way to check the layout of a report because Access uses just enough data from the underlying table or query to show you what the report will look like. If you want to review the exact data that will appear in a report, use Print Preview.
  
• In Report Design View, click the arrow next to the View Button on the toolbar and then click Layout Preview.
• Note
  • If the report is based on a query that prompts you for Parameters, you DON'T need to enter any values; just click OK. Access ignores the parameters when you choose Layout Preview.

Print a Report:
• Before you print a report for the first time, you might want to check the Margins, Page Orientation, and other Page Setup Options.
• Select the report in the Database Window, or open the report in Design View, Print Preview, or Layout Preview.
• On the File Menu, click Print.
  • Enter the settings you want in the Print Dialog Box.
  • Under Printer, specify a printer.
  • Under Print Range, specify all pages or a range of pages.
  • Under Copies, specify the number of copies and whether they should be collated.
• Click OK.
• Note
  • "Print one section per page" is in that Fields Properties under FORCED NEW PAGE.
    

Scroll Bars:
Display or hide Scroll Bars in a Spreadsheet:
• In the Design Window, make sure the spreadsheet is activated.
• For instructions, see Help for your Design Program.
• On the toolbar in the spreadsheet, click Property Toolbox.
• If the Advanced Section is not expanded, click the Advanced Bar.
• In the AutoFit Spreadsheet List, click False.
  • To display a scroll bar at the bottom of the spreadsheet, click True in the Horizontal Scroll Bar List.
  • To hide the scroll bar at the bottom of the spreadsheet, click False in the Horizontal Scroll Bar List.
  • To display a scroll bar at the side of the spreadsheet, click True in the Vertical Scroll Bar List.
  • To hide the scroll bar at the side of the spreadsheet, click False in the Vertical Scroll Bar List.
• Notes
  • If you hide the scroll bars and also set the Auto Fit Spreadsheet option to False, inserting rows or columns in the browser might make existing rows or columns disappear off the edges of the spreadsheet.
  • These settings CANNOT be changed from the toolbox in the browser.
  • If the toolbar for the spreadsheet is displayed, the area used by the spreadsheet will be at least as wide as the toolbar.
  • This setting applies ONLY in the browser, not when you view the spreadsheet in the Design Program.
  • This setting CANNOT be changed from the toolbox in the browser.

Sort:
Group Records in a Report:
• You can group on up to 10 fields or expressions in a report.
• Open the report in Design View.
• Click Sorting And Grouping on the toolbar to display the Sorting And Grouping Box.
• Set the Sort Order for the data in the report.
• Click the field or expression who's Group Properties you want to set.
• Set the Group Properties in the following list. You MUST set either Group Header or Group Footer to Yes in order to create a Group Level and set the other Grouping Properties.
  • Group Header:
    • Add or remove a Group Header for the field or expression.
  • Group Footer:
    • Add or remove a Group Footer for the field or expression.
  • Group On:
    • Specifies how you want the Values Grouped. The options you see depend on the Data Type of the Field on which you're Grouping.
    • If you group on an expression, you see all the options for all data types.
  • Group Interval:
    • Specifies any interval that is valid for the values in the field or expression you're grouping on.
• Keep Together:
  • Specifies whether Access prints all or only part of a group on the same page.

Sort Records in a Report:
• You can sort on up to 10 fields or expressions in a report.
• Open the report in Design View.
• Click Sorting And Grouping on the toolbar to display the Sorting And Grouping Box.
• In the first row of the Field/Expression Column, select a field name, or type an expression.
• The field or expression in the first row is the First Sorting Level (the largest set). The second row is the Second Sorting Level, and so on.
• When you fill in the Field/Expression Column, Access sets the Sort Order to Ascending. Ascending Order sorts from A to Z or 0 to 9.
• To change the Sort Order, select Descending from the Sort Order List. Descending Order sorts from Z to A or 9 to 0.

Change Sorting and Grouping Order in a Report:
• Open the report in Design view.
• Click Sorting And Grouping on the toolbar to display the Sorting And Grouping Box.
• In the Sorting And Grouping Box, click the Row Selector of the field or expression you want to move.
• Click the Selector again, and drag the row to a new location in the list.
• If the groups you're rearranging have headers or footers, Access moves the headers, footers, and all the controls in them to their new positions. However, you MUST adjust the locations of the controls in the headers and footers yourself.
